The Attach Signed PDF for these Recipients settings provides the ability to decide who receives a signed PDF record of the completed document. There several options available to give the user deep flexibility depending on requirements for privacy or compliance. This article will covers the 7 selectable options as well as 3 additional scenarios that can be achieved by combining certain settings. These options and scenarios are controlled from the settings tab.
SETTINGS Tab
The SETTINGS tab should be available for all RSign® user roles (RPost® Super Admin, RSign Support, Customer Admin, and User). If you are an end-user, you will be able to change your PERSONAL settings. If you use an Admin enabled account, you can change both COMPANY and PERSONAL settings. The Settings Tab includes settings for Admin, Sending, Template, Storage, System, E-Disclosure, Advanced, and Privacy.
This setting, Attach Signed PDF for these Recipients, is available under both the COMPANY and PERSONAL tab. If you do not see the options described in this article and wish to add them, please contact your RPost sales or account manager to enable them.
Click the SETTINGS > Advanced.
The Advanced settings menu displays the Option column and the visibility settings including the Default Settings, Override User Settings & Lock Settings.
Scroll down the Option menu and select Attach Signed PDF for these Recipients to manage or change the default settings.
Attach Signed PDF for these Recipients has the following defaults and options. There are additional options discussed below on how to use Access Codes and RSign Account Sign-In to achieve greater flexibility for authentication and document retrieval.
Default Settings: The Attach Signed PDF for these Recipients setting is set to “Sender and Signer” by default and has the following 7 drop-down options to choose from.
- Sender Only: Once the RSign document is signed and completed, the sender will receive an email with a copy of the PDF of the completed document. The Signer(s) will receive a link to view and download the completed document within the web browser. If encryption is used, a PW will be required to open the attached PDF
- Sender and Signer: Both the sender and signer will receive a PDF copy of the signed and completed document with the “Document Signed” or “Final Document” email. If encryption is used, a PW will be required to open the attached PDF
- Retrieval Link: Once the RSign document is signed and completed, the sender and signer(s) view and download the completed document within the web browser. A PDF is not sent to either sender or the signer. If encryption is used, a PW will be required to open the document in your browser. If sender logs into RSign account, document can be downloaded without PW.
- Sender Only & No Email to Recipient: After the signers (recipient) have signed the document, the sender receives a signed PDF document along with a signature certificate PDF in their inbox. Signers do not receive any communication.
- Sender Only & Recipient Sign In: After the signer (recipient) have signed the document, the sender receives a signed PDF document along with a signature certificate PDF via email. Signer receives an email with a link to retrieve a signed copy. If encryption is used, a PW will be required to open the downloaded document or PDF attachment. If sender logs into RSign account, document can be downloaded without PW.
- Sender Retrieval Link and No Email to Recipient: Sender receives an email with the “Document Signed” banner along with a “View Signed Document” button to retrieve the signed document. Signers do not receive any communication. If encryption is used, a PW will be required to open the document in your browser. If sender logs into RSign account, document can be downloaded without PW.
- Sender Retrieval Link & Recipient Sign-In: Sender receives an email with the "Document Signed" banner along with a "View Signed Document" button to retrieve the signed document. Signer receives an email with a link to retrieve a signed copy. If encryption is used, a PW will be required to open the document in your browser. If sender logs into RSign account, document can be downloaded without PW.
Additional authentication scenarios can be created for document viewing, retrieval and download by combining the Access Code settings with a number of the default options above.
Scenario #8 - Both Sender and Signer required to Sign-in to Authenticate
Combine PDF for these Recipients settings with Access Authentication to achieve this goal:
Option 1 :
- Attach Signed PDF for these Recipients = Sender and Signer.
- Settings > Sending > Access Authentication = End to End
Option 2 :
- Attach Signed PDF for these Recipients = Sender and Signer.
- Settings > Sending > Access Authentication = Required to Open Signed
These options ensure that the sender will have to enter a password, and therefore, authenticate themselves to view the document.
Scenario #9 - The sender wishes the Retrieval Link to require a password to download the final signed PDF in the following scenarios.
Attach Signed PDF for these Recipients can be any one of the three following options
- Retrieval Link:
- Sender Retrieval Link and No Email to Recipient:
- Sender Retrieval Link & Recipient Sign-In:
Combined with these Access Authentication Settings > Sending > Access Authentication = End to End or Required to Open Signed
Scenario #10 - Signer is required to enter a code to retrieve a link or Signer could log in to access the final signed PDF document but the download is not password protected.
Combine the following settings.
- Attach Signed PDF for these Recipients = Retrieval Link combined with Access Code Settings > Sending > Access Authentication = End to End
This combination of settings requires a password for both the sender and the signer. First, the sender will see the following popup before they sign the document.
Second, after all the signers sign it, the sender will be required to enter a password to view the final signed document.
