If you or your organization are using the RMail Security Gateway to send mail you can simplify and organize the inbound Registered Receipt emails generated via the system by creating folders in Microsoft Outlook and filing these emails automatically.
The following article will show you how to set up two folders, one for RMail Contracts, which will contain the signed contact you requested a signature on, and the other for RMail Receipts, which will contain the registered receipts for all your emails sent using RMail. Lastly, we will add rules to Outlook to automatically file the inbound emails into these folders for you.
The two folders are sub-folders of the primary account’s inbox as shown below:
The rules for automatically filing inbound mails to them may be imported into Microsoft Outlook by following the Import instructions in this article.
Step 1. Save the RMail Rules File
Save the RMail Rules for Outlook.rwz file onto the local computer. The file is downloadable from the link at the bottom of this article.
Step 2. Import RMail Rules
- Open Outlook.
- Click the File
- Click Manage Rules & Alerts.
- Click Options.
- Click Import Rules.
- Select the file: RMail Rules for Outlook.rwz
- Click Open.
- Press OK.
- Optional: To run the rule for existing receipts and signed contracts currently in the Inbox.
- Press Run Rules Now and check the RMail Contracts and RMail Receipts rules.
- Press Run Now.
- Press Close.
- Press OK.
