The RMail Recommends feature automates RMail security and privacy features to ensure compliance. Using predictive technologies at the point of sending, RMail Recommends helps customers by recommending or requiring RMail protections on an otherwise non-protected email.
This article covers the following topics:
How does RMail Recommends work
When the “Send” button is pressed and the RMail App detects certain configurable criteria in one or more components of the message, the RMail Recommends pop-up will appear reminding the user to use the RMail service or require its use. The user can choose to send using the RMail feature or send as regular email.
RMail Recommends Settings
It is highly configurable to recommend or require an RMail feature based on conditions in the following areas of the message:
- Email subject contents
- Email body contents
- Attachment name contents
- Attachment file type
- Email header flag
- Recipient email or domain
- More
Note: When certain message content triggers a message to be required to be sent with a particular RMail feature, the RMail Recommends dialog box will not be prompted. For this configuration contact your RMail sales or customer success representative.
RMail recommendations may be temporarily or permanently disabled.
To customize the settings follow these steps:
1. Press File
2. Click on RMail Settings
3. In the pop-up panel click on RMail Recommends
- By default, RMail Recommends is enabled for all four services.
- Rules can be created so that all emails sent to a specific email address or domain use a specific RMail feature
- The Recommender (“RMail“) can be customized to carry the name of your choice (for example, “John Recommends”). For this configuration contact your RMail sales or customer success representative.
- RMail Recommends is available in RMail for Outlook starting from version 11.
